What it is
An employee-onboarding tracker for healthcare is a web app that manages clinical and support-staff onboarding — license and credential uploads, mandatory training, and unit orientation — in one auditable dashboard. It gives HR and nurse managers a clear view of who is cleared for patient care and who still has documents outstanding.
What your healthcare onboarding tracks
Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for healthcare.
Employee name
The record every credential, training, and sign-off attaches to for a fully auditable onboarding history.
Role
RN, MA, CNA, physician, or admin — each has a distinct set of required licenses and competencies.
Department / unit
Determines the unit-specific orientation and preceptor who must sign off before patient contact.
Start date
Sets the timeline for completing mandatory training and credential verification before the first shift.
License / certification uploaded + expiry
Stores the RN license, BLS/CPR, and specialty certs with expiry dates so nothing lapses unnoticed.
Immunization / health screening records
Holds required health documentation that must be on file before a clinician works with patients.
HIPAA & compliance training completed
Confirms mandatory privacy and compliance modules are done — a legal prerequisite for any staff member.
Credential / background documents uploaded
Keeps the credentialing paperwork in one place for audit and accreditation reviews.
Preceptor sign-off / unit orientation
Records competency confirmation on the unit, the final gate before independent practice.

Unit readiness and whether the preceptor has signed off on competency.
Compliance officer
The audit trail — that every license, immunization, and training record is on file and current.

Frequently asked questions
Does it integrate with credentialing systems or run primary-source license verification and background checks?+
No. Kleap doesn't integrate with credentialing platforms, and it does not perform primary-source verification or background checks. You upload license, credential, and background documents and track their status and expiry inside the tracker. Actual verification is done through your usual channels, and Kleap records that it was completed.
Is it HIPAA-compliant and safe to store patient data in?+
Kleap gives you private records behind logins with role-based access and per-user scoping, but it is not a certified HIPAA-compliant EHR. Use it to track staff onboarding, credentials, and training — not to store protected health information about patients. Keep PHI in your certified clinical systems and use this tracker for the workforce-onboarding side.
Does it store license expiry dates and alert us before they lapse?+
It stores each license and certification with its expiry date and surfaces those on the dashboard, so you can see who's approaching renewal in one view. It does not send automatic email or text alerts. A coordinator reviews the dashboard and follows up, rather than the system pushing notifications.
Can clinicians e-sign their compliance attestations in the tracker?+
No — there's no built-in e-signature. Signed attestations and forms are uploaded as documents and the item is marked complete, giving you a stored record for each employee. If your organization requires formal e-signatures, you'd capture those in a separate tool and upload the signed copy here.
