What it is

A quote generator for freelancers is a web app that turns a project brief into a professional, itemized proposal — deliverables, rates, and total — that a client can review and approve from a link. Each proposal is saved as a record so you can see what's outstanding, accepted, or declined.

What your freelancers quote tracks

Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for freelancers.

Project / engagement name

Identifies the piece of work so multiple proposals to the same client don't get confused.

Deliverables list

Names the concrete outputs so both sides know exactly what the fee buys.

Rate basis (hourly / fixed / day rate)

Sets how the price is calculated and frames the client's expectations.

Estimated hours or milestones

Ties the fee to effort or stages so the client sees how the number was built.

Revision rounds included

Caps how many revisions are covered — the single biggest source of freelance scope creep.

Project total & currency

The headline number, with currency stated for cross-border clients.

Payment terms (e.g. 50% upfront)

Written as text on the quote so terms are clear, even though the app doesn't collect the money.

Status (draft/sent/accepted/declined)

Tracks whether the client has approved so you know when to start.

Client / company contact

The hiring manager or company the proposal is addressed to.

Buy a tool, or own one built for you

Off-the-shelf software makes you fit its mold. With Kleap you describe the quote you actually want and own it outright.

A typical quote

  • Your data lives on their servers, in their format
  • Fixed features — you adapt to the tool, not the reverse
  • Generic, not shaped around freelancers

Built with Kleap

  • Free to start — no per-seat pricing
  • You own the app and its database, data stays yours
  • Change anything by chatting — fields, views, workflow

Frequently asked questions

Does this replace my invoicing or sync with QuickBooks?+

No — Kleap doesn't sync with QuickBooks or any accounting tool, and it doesn't send invoices. It produces and stores the quote itself: line items, total, and an accepted/declined status. You'd still invoice and collect payment through your own tool once the proposal is accepted.

Should I quote hourly or a fixed price?+

Fixed pricing usually converts better and protects you from clients watching the clock, as long as the deliverables and revision rounds are tightly scoped. Use the rate-basis and revision-rounds fields to make a fixed quote defensible.

How do I stop scope creep in a proposal?+

List deliverables explicitly and cap revision rounds directly on the quote, then treat anything beyond that as a new quote record. When the boundary is written down and accepted, out-of-scope requests are much easier to re-quote.

Can the client approve the proposal online?+

Yes, in the sense that they open a shared link, review the full proposal, and you mark it accepted — acceptance is tracked as a status, not a legal e-signature. That's enough for most freelance engagements to get started with a clear paper trail.
