What it is
A vendor-management app for construction is a web database of the subcontractors and material suppliers on your projects. It tracks their licenses, insurance, lien waivers, and trade so a general contractor only assigns work to compliant, insured vendors.
What your construction vendor management tracks
Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for construction.
Subcontractor / supplier name
The company as it appears on the subcontract and pay applications.
Trade / scope
Electrical, framing, or concrete lets PMs match vendors to the right project scope.
License number & expiry
The trade license is flagged on the dashboard before it lapses to keep the sub compliant.
Certificate of insurance (upload)
General liability and workers' comp proof, mandatory before a sub sets foot on site.
Insurance expiry date
Flagged on the dashboard so a sub is never left working uninsured.
W-9 (upload)
Collected for accurate 1099 reporting on subcontractor payments.
Prequalification status
Qualified, pending, or rejected based on capacity, safety, and financials.
EMR / safety rating
The experience modification rate is the core jobsite-safety signal for a sub.
Bonding capacity
The vendor's surety limit gates which project sizes they can take on.

Frequently asked questions
Does it integrate with Procore or our accounting system?+
No. Kleap builds a standalone web app on its own database and does not integrate with Procore, Sage, QuickBooks, or other construction and accounting platforms. It works as a self-owned subcontractor compliance register alongside your project-management tools.
Will it email subs when their insurance is about to expire?+
No automatic emails or SMS. The app flags insurance and license expiry dates on the dashboard so your compliance manager sees which subs are lapsing when they log in, then follows up manually.
Can we store lien waivers and COIs per subcontractor?+
Yes. Each subcontractor record supports document uploads, so certificates of insurance, license copies, W-9s, and signed lien waivers are attached to the vendor and searchable before mobilization.
Can we block subs who aren't prequalified or insured?+
Each vendor carries a prequalification and insurance status, so PMs filter the dashboard to compliant subs only. The app surfaces who is out of compliance; it does not hard-stop a payment, since it does not process payments through a processor.
