What it is

A client portal for a freelancer is a simple web app where each of your clients logs in to see project progress, share files, approve work, and check what they owe — so you look organized without buying a heavy agency tool. Kleap builds it on its own database, one private login per client.

What your freelancer client portal tracks

Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for freelancer.

Project progress tracker

A clear status per project (not started, in progress, review, done) so clients see momentum and you avoid the 'any update?' message.

Deliverables upload

File fields to hand off drafts and final files directly to the client's record — no expiring transfer links or email size limits.

Approval / revision request

A one-click approve-or-request-changes action on each deliverable, saving the decision so revision rounds are clear and countable.

Client brief form

An intake form the client fills at kickoff (goals, references, assets) that writes into their record, so you start with everything you need.

Revision rounds counter

A field tracking how many rounds are used vs. included, making scope creep visible before it becomes free work.

Payment status field

A read-only deposit/final status (unpaid, deposit paid, paid) so clients self-check without an awkward chase — stored in the portal's own database, not linked to an external invoicing tool.

Client message thread

A single scoped conversation per client so feedback and questions stay in one findable place instead of across DMs and email.

Client dashboard

A tidy summary of current project status, files ready to download, and anything awaiting their approval when they log in.

Buy a tool, or own one built for you

Off-the-shelf software makes you fit its mold. With Kleap you describe the client portal you actually want and own it outright.

A typical client portal

  • Monthly per-seat fees that grow with your team
  • Your data lives on their servers, in their format
  • Fixed features — you adapt to the tool, not the reverse
  • Generic, not shaped around freelancer

Built with Kleap

  • Free to start — no per-seat pricing
  • You own the app and its database, data stays yours
  • Change anything by chatting — fields, views, workflow
  • Shaped around how freelancer actually works

Frequently asked questions

Do I need this if I only have a few clients?+

It helps precisely because it makes a solo operation look organized and professional. Each client gets their own login to see progress, files, and approvals, which reduces scattered messages and positions you like a larger studio without the overhead.

Can clients pay me through the portal?+

The portal tracks payment status as a field — unpaid, deposit paid, paid — so clients can self-check their balance, but it is not a payment processor and does not connect to one. You collect payment however you normally do and reflect the status in the portal.

How do clients get access?+

You send them a link and they log into an account scoped only to their project. There is nothing to install; it is a responsive website that works on phone or desktop, and they only ever see their own files and status.

Can I keep revision rounds under control with it?+

Yes. A revision-rounds field records how many rounds a client has used against what's included, so scope creep is visible to both sides. When the count is on the record, extra rounds are an easy, non-awkward conversation.
