What it is

A property-management app for a homeowners association (HOA) is a web-based system for tracking every home in the community — the homeowner, their dues status, CC&R violations, and architectural requests in one place. It replaces the binders and spreadsheets a volunteer board relies on to run the association.

What your hoa property management tracks

Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for hoa.

Lot / unit address

Identifies each home within the association.

Homeowner name & contact

The member responsible for dues and compliance with the CC&Rs.

Dues / assessment status

Whether the quarterly or annual assessment is current or delinquent.

Assessment amount

The recurring HOA fee owed for that lot.

Violation record

Logged CC&R breaches (unapproved paint, visible trash cans) with the date noted.

Architectural request (ARC)

A homeowner's submitted request to modify their property, tracked for board review.

Meeting minutes / vote (upload)

Governance documents stored against the community for the record.

Amenity reservation

Clubhouse or pool bookings tracked per homeowner.

Special assessment flag

Marks lots owing a one-time levy for a major repair or reserve shortfall.

Built with Kleap

  • Free to start — no per-seat pricing
  • You own the app and its database, data stays yours

Frequently asked questions

Can homeowners pay their HOA dues through the app?+

No — the app tracks each homeowner's dues as a status (current or delinquent), but it doesn't process payments. Homeowners still pay via your bank, lockbox, or existing dues method, and the board marks the record paid. It's your delinquency ledger, not a payment collector.

How do we track CC&R violations and architectural requests?+

Each home record holds violation entries with dates plus a homeowner-submitted architectural (ARC) request form, so the board keeps the full compliance and modification history per lot. Homeowners log in to file an ARC request that lands in your dashboard as a record.

Does it automatically send violation notices or dues reminders?+

No — Kleap doesn't auto-send email or SMS. It logs the violation or delinquency as a record you can see in the dashboard, but you send the actual notice through your own email or mailing process. The app is the system of record, not a notification engine.

Can board members and homeowners have different logins?+

Yes — you set up role-based logins, so board members see the full community dashboard (dues, violations, all lots) while each homeowner sees only their own home, dues status, and request forms. Per-user scoping keeps private records private.
