What it is
An agency knowledge base is a documentation hub for standard operating procedures (SOPs), client playbooks, and deliverable guides — run either as an internal team resource or a branded, client-facing help center.
What your agencies knowledge base tracks
Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for agencies.
Article / SOP title
Names a repeatable process ('monthly SEO report SOP') so any team member delivers it the same way.
Client / account
Ties playbooks and briefs to the specific account so nothing from one client leaks into another's work.
Service line (SEO / paid / design / dev)
Organizes SOPs by discipline so specialists find their own workflows without wading through others.
Doc type (SOP / playbook / brief template / FAQ)
Distinguishes an internal process from a client-facing how-to so the right doc reaches the right audience.
Owner / author
Assigns an account lead who keeps the SOP aligned with how the agency actually delivers today.
Status (draft / approved / published)
Stops the team from following a process before it's been approved by a senior lead.
Access (internal vs client-visible)
Keeps margin math and internal SOPs private while exposing only the polished client-facing guides.
Last-updated / review date
Client deliverables evolve; a stale SOP produces off-brand work that the client notices.
Tags
Surfaces every asset touching a channel or deliverable type across all accounts for reuse.

Frequently asked questions
Can each client get their own separate, integrated portal that syncs with our PM tool?+
Not as separate auto-provisioned instances, and it won't integrate with Asana, ClickUp, or Trello. Kleap builds one web app on its own database; you can organize per-client sections and gate them with logins, but it doesn't sync tasks from your project-management tool. It's a documentation hub, not a PM integration.
Can we white-label it and use our own domain for a client-facing help center?+
Yes. You can build a branded help center and connect a custom domain, and removing the 'Made with Kleap' badge is available on paid plans. That lets a client-facing docs site look like part of your agency's brand rather than a generic tool.
Is there a mobile app clients download to read their docs?+
No. Kleap produces a responsive website that reads well on phones, but there's no downloadable app in the App Store or Google Play. Clients just open the link in a browser.
Can we restrict internal SOPs so clients never see them?+
Yes. Use the access field plus logins and roles to keep SOPs and margin details internal while publishing only the client-facing guides. The same app can host both a private team wiki and a public client help center.
