What it is
An invoice-tracking app for photographers is a web tool that records each shoot's invoices, from the booking retainer to the final balance, and tracks them through to paid or overdue. It gives a photographer one place to see which sessions are secured and which balances are still owed before delivery.
What your photographers invoice tracks
Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for photographers.
Session or shoot name
Labels the booking, such as a wedding or portrait session, so invoices map to the right event.
Client name
Ties the retainer and balance to the client who booked the shoot.
Event or shoot date
Records when the shoot happens, the anchor for retainer and balance deadlines.
Booking retainer
Captures the non-refundable deposit that secures the date, the invoice photographers rely on most.
Package amount
Records the agreed package price so the remaining balance after the retainer is clear.
Add-ons
Logs extras like prints, albums, or extra hours billed on top of the base package.
Balance due date
Sets when the final balance is owed, often before galleries are delivered.
Invoice number
Gives a shared reference for the client and your booking records.
Status
Marks each invoice as retainer paid, balance due, paid, or overdue per shoot.

Frequently asked questions
Can clients pay the booking retainer through the app to lock their date?+
No. The app does not take card or bank payments and cannot hold a deposit. It records the retainer invoice and its status, so once the client pays you through your own method you mark it paid, which confirms the date is secured in your records.
How do I make sure a client pays the balance before I deliver the gallery?+
Each shoot has a balance-due-date field and a status, so you can see at a glance whether the final payment has landed before you release photos. The app tracks and flags an unpaid balance but does not block delivery or send reminders automatically, so the check stays yours to make.
Is there a photographer app I can install on my phone?+
There is no native app in the App Store or Google Play. The tracker is a responsive website you open in a phone or laptop browser, so you can check a shoot's payment status or add a booking from anywhere without a download.
Does it sync with QuickBooks or my payment processor?+
No, it does not integrate with QuickBooks, Xero, or any payment processor. It keeps its own records of shoots, retainers, balances, and statuses, which you reference directly and hand to your accountant rather than syncing automatically.
