What it is

An employee-onboarding tracker for startups is a lightweight web app that gives a fast-growing team one place to log every new hire and check off the essentials — accounts, equipment, and first project — without standing up a heavy HR system. It keeps onboarding consistent even when a founder or ops-of-one is running it between other work.

What your startups onboarding tracks

Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for startups.

New hire name

The single record everything hangs off of when there's no dedicated HR team to keep things organized.

Role / title

Determines which access and first-week goals apply, since an engineer and a first sales hire onboard very differently.

Start date

Drives the ramp clock startups watch closely because every week of unproductive headcount is expensive at their stage.

Onboarding buddy / founder assigned

Names who owns the hire's ramp, which matters most when there's no HR safety net to catch gaps.

Equipment shipped

Tracks laptop and hardware status so a remote or same-week hire isn't blocked on day one.

Tool access checklist

Confirms Slack, GitHub, email, and Notion accounts exist — the fastest way to make a startup hire useful.

Offer & equity paperwork uploaded

Stores the signed offer and stock-option paperwork that startups often lose track of during rapid hiring.

First-week goals

Sets a concrete early win so the hire contributes fast instead of waiting for a formal program that doesn't exist yet.

30-day check-in date

Forces one intentional review in a stage where feedback usually gets skipped entirely.

Founder

How fast the hire starts contributing and whether onboarding cost stays near zero.

Onboarding buddy

Their assigned hire's checklist and whether they're unblocked day to day.

Part-time ops / people lead

That offer and equity paperwork is complete and nothing falls through the cracks during fast growth.

  • Generic, not shaped around startups

Built with Kleap

Frequently asked questions

Does it connect to Slack, GitHub, or Google Workspace to auto-create accounts for new hires?+

No. Kleap does not integrate with Slack, GitHub, or Google Workspace, so it can't auto-provision accounts. You add each access step as a checklist item and mark it done once someone creates the account manually. The tracker gives you the single source of truth for what's set up, not automated provisioning.

Is it cheap enough for a small startup team?+

Yes — you build the tracker as your own web app on Kleap rather than paying per-seat for a heavy HR platform. It runs on Kleap's own database with logins and roles, so a founder or ops-of-one can maintain it without a big tooling budget. It's meant to replace a messy spreadsheet, not a full HRIS.

Is there a mobile app so hires can onboard from their phone?+

There's no native app to install from the App Store or Google Play. What you build is a responsive website, so new hires open it in their phone's browser and it works fine on mobile. It just isn't a downloadable app.

Will it scale as we grow from 5 to 50 people?+

It handles a growing list of hire records, per-user logins, and role-based access, so it holds up well as headcount climbs. As you scale you can add more fields, task templates, and dashboards yourself. If you later adopt a dedicated HRIS, you'd run that separately since Kleap doesn't sync to external systems.
