What it is

A startup knowledge base is a lightweight internal wiki where a small team documents how things work — processes, decisions, tooling, and onboarding — so knowledge isn't trapped in founders' heads or buried in Slack threads.

What your startups knowledge base tracks

Every field below is one you can add, rename, or remove by chatting with Kleap — a starting point tuned for startups.

Doc title

Names the thing a teammate would ask about ('how we do deploys') so answers replace repeated DMs to the founder.

Category (eng / product / ops / sales / people)

Keeps a growing wiki navigable as the team adds its first specialized functions.

Owner

In a tiny team every doc needs a human accountable for it, or it rots the moment that person's busy.

Status (draft / current / archived)

Startups pivot fast; marking a doc archived stops new hires from following a dead process.

Last-updated

Signals whether a scrappy early doc still reflects how the company actually operates now.

Confidentiality (internal-only vs shareable)

Separates fundraising or metrics docs from onboarding pages that could be shared with contractors.

Related docs / links

Connects a process doc to the tool or template it references so context isn't scattered.

Canonical flag

Marks the one true source when duplicate notes exist, so the team stops arguing over which version is right.

Tags

Lets a founder-turned-manager surface every doc touching 'hiring' or 'security' without a folder hunt.

Buy a tool, or own one built for you

Off-the-shelf software makes you fit its mold. With Kleap you describe the knowledge base you actually want and own it outright.

A typical knowledge base

  • Monthly per-seat fees that grow with your team
  • Your data lives on their servers, in their format
  • Fixed features — you adapt to the tool, not the reverse
  • Generic, not shaped around startups

Built with Kleap

  • Free to start — no per-seat pricing
  • You own the app and its database, data stays yours
  • Change anything by chatting — fields, views, workflow
  • Shaped around how startups actually works

Frequently asked questions

Can it pull our existing docs from Notion, Google Docs, or Confluence?+

No. Kleap doesn't sync or import live from Notion, Google Docs, or Confluence. You author content directly in Kleap (pasting in text is fine), and from then on it's the canonical home. It's best set up as your going-forward wiki rather than a mirror of another tool.

Can we keep it private for the team but share a few pages publicly?+

Yes. You can put the wiki behind a login for internal-only content and also publish select public pages. Roles let you control who sees what as the team grows.

Is there an AI assistant that answers questions from our wiki?+

No, not by default. Kleap builds a searchable wiki, not a generative bot that composes answers from your docs. Good titles, categories, and search are how your team finds things fast.

Will it get expensive or messy as the team grows?+

It stays a structured web app: you keep adding article records, categories, and owners. Because it's authored in one place with statuses and a canonical flag, growth is about discipline (owners and review dates), not a new tool.
