Based in Switzerland

Swiss businesses face growing pressure on their margins, timelines, and ability to retain talent. Artificial intelligence is no longer a subject reserved for large multinationals: it can be deployed in an SME of 10 people just as well as in an institution with several hundred employees, provided it is well calibrated to the local context, existing tools, and Swiss regulatory constraints. Kleap supports businesses in French-speaking and German-speaking Switzerland through this transition, from the audit to deployment, with infrastructure hosted entirely in Europe and open source models on which your data is never used for training.

What an AI agency in Switzerland actually does

An AI agency does more than install ChatGPT on a workstation. The work begins with a diagnostic of your processes to identify automatable friction points, then translates into concrete deliverables: an AI agent that responds to customer requests, an internal tool that processes documents, a dashboard that aggregates your business data in real time, or a client portal that replaces a manual process. Kleap covers this entire scope, from design through deployment and ongoing operations.

  • Audit of your business processes and identification of priority use cases
  • Development of autonomous AI agents adapted to your workflows
  • Automation of repetitive tasks (document processing, emails, CRM)
  • Creation of custom internal software with integrated AI
  • Client portals and intelligent dashboards
  • Integration with your existing tools (ERP, CRM, messaging, accounting)
  • Training and change management support for your teams

Why act now: the Swiss context in 2025-2026

The Swiss Confederation revised its Federal Act on Data Protection (FADP) in 2023, aligning the Swiss legal framework with the European GDPR. This development creates an obligation for data traceability and governance that directly affects the AI tools used by businesses. In parallel, the first AI deployments in Swiss SMEs are beginning to produce measurable results: time savings on administrative tasks, reduction in processing errors, and improved commercial responsiveness. Companies that delay are giving their competitors an advantage in a market where speed of execution is becoming a key differentiator.

  • Revised FADP: mandatory compliance for any automated processing of data by AI
  • First Swiss SMEs with operational AI agents since 2024
  • Increased competitive pressure on timelines and operational costs
  • Talent shortages in many sectors: AI compensates without replacing
  • Production-quality open source AI models available and hostable in the EU

Our three support paths

Needs vary widely from one business to the next. An independent craftsperson does not have the same resources as a mid-sized accounting firm, nor the same priorities as an industrial group. Kleap offers three tailored options, without trying to sell the same thing to everyone.

  • Built for you: the Lionscreative team (partner agency) develops and deploys the AI solution end to end, with ongoing monitoring and maintenance
  • Referral: if your project requires specialized expertise (healthcare, legal, finance sector), Kleap connects you with the most suitable Swiss provider
  • Kleap Enterprise self-serve: access the platform directly to create and deploy your own AI tools and portals without depending on a development team

Priority business sectors in Switzerland

AI applies across virtually every sector, but certain use cases are particularly mature and profitable in the context of Swiss businesses. Here are the areas where we have the most experience.

  • Fiduciaries and accounting firms: automated invoice processing, bank reconciliation, report generation
  • Law firms and attorneys: document analysis, clause extraction, summary preparation
  • Real estate agencies: automated lead qualification, description generation, 24/7 customer assistant
  • Industrial SMEs and tradespeople: quote processing, order management, technical documentation
  • Human resources and recruitment: resume screening, job description generation, document-based onboarding
  • Healthcare and clinics: request triage, consultation summaries, scheduling management
  • Retail and e-commerce: automated customer support, recommendation personalization, returns management

Our deployment method: from audit to production

We have structured our approach to minimize risk and deliver measurable results quickly, without endless projects or opaque commitments.

  • Step 1: Audit and scoping (1 to 2 weeks): analysis of your processes, identification of high-value use cases, definition of scope and success indicators
  • Step 2: Working prototype (2 to 4 weeks): delivery of a first testable version on your real data, without waiting for a perfect project
  • Step 3: Deployment and integration (2 to 4 weeks): connection to your existing tools, user testing, adjustments
  • Step 4: Monitoring and optimization (ongoing): measurement of results, corrections, and improvements based on field feedback

Digital sovereignty: AI that stays in Europe

The question of where data is hosted is not a minor detail for Swiss businesses. Entrusting sensitive business data to American platforms creates real legal risks, particularly with the US CLOUD Act, which allows US authorities to access data held by US operators even on European servers. Kleap has made a deliberate choice: Hetzner infrastructure (Germany, European Union), open source AI models running entirely on European servers, no transfer to American third parties, and no reuse of your data to train anything.

  • Hosted on Hetzner infrastructure (EU): no dependency on American cloud
  • Open source models deployed in Europe: your data stays within EU jurisdiction
  • No reuse of client data for model training
  • Architecture compatible with the requirements of the Swiss FADP and European GDPR
  • Traceability of AI processing to respond to audits and compliance requests

FADP compliance and AI governance for Swiss businesses

The revised Federal Act on Data Protection (nLPD), in force since September 2023, imposes specific obligations on Swiss businesses as soon as they process personal data in an automated manner. An unmanaged AI deployment can constitute a violation of the FADP, particularly if automated decisions affect individuals without any possibility of recourse. Kleap incorporates the governance dimension from the audit phase: mapping of processing activities, impact assessment, documentation of data flows, and help in establishing an internal AI usage policy suited to your size and sector.

  • Analysis of automated processing in light of the nLPD (art. 22 on automated individual decisions)
  • Documentation of data flows between your systems and AI components
  • Advice on establishing an internal AI usage charter
  • Coordination with your DPO or legal counsel where necessary
  • No SOC2 or ISO 27001 certification at present: we remain transparent about our scope

Integration with your existing tools

An AI project does not start from a blank slate. Your teams already use tools that you have spent years configuring. Our approach aims to augment these tools, not replace them. We work primarily on existing connection points: APIs, webhooks, data exports, native connectors.

  • Office suites: Microsoft 365 (Teams, Outlook, SharePoint), Google Workspace
  • CRM: Salesforce, HubSpot, Pipedrive, and sector-specific solutions
  • ERP and accounting: SAP, Abacus, Bexio, Winbiz (common in French-speaking Switzerland)
  • Project management and communication: Slack, Teams, Notion, Asana
  • Specific business systems: quoted individually depending on the environment

Local roots: French-speaking and German-speaking Switzerland

Kleap is a team based in French-speaking Switzerland, with a thorough understanding of the local business fabric, the constraints of Swiss SMEs, the bilingual or even trilingual context, and the specific regulatory features of Switzerland. We work with businesses in Genève, Lausanne, Neuchâtel, Fribourg, Bern, Basel, and Zurich. This proximity is not a marketing argument: it concretely improves the quality of the initial diagnostic and the relevance of the solutions proposed.

  • French-speaking team based in Western Switzerland
  • Knowledge of common sector-specific solutions in Switzerland (Abacus, Winbiz, etc.)
  • Ability to manage bilingual FR/DE projects
  • Network of specialist partners across Swiss cantons
  • In-person meetings available on request (Romandy and access to Bern/Zurich)

Our 4-step method

01

1. Audit and scoping

In 1 to 2 weeks, we analyze your current processes, identify the most time-consuming tasks and available data, and together define the use cases to deploy first. This diagnostic produces a clear roadmap with measurable indicators.

02

2. Working prototype

In 2 to 4 weeks, we deliver a first testable version on your real data. Not a mockup, not a generic demo: a tool that runs in your environment and that your teams can use to validate the approach before any further commitment.

03

3. Deployment and integration

The validated prototype is then connected to your existing tools (CRM, ERP, messaging, etc.), tested with end users, and adjusted based on their feedback. This phase typically takes an additional 2 to 4 weeks depending on the complexity of the integrations.

04

4. Monitoring and optimization

Once in production, we track the metrics defined in step 1 and make the necessary adjustments. The quality of AI models improves with use: we capitalize on field feedback to refine performance week by week.

Frequently asked questions

What is an AI agency in Switzerland and how does it differ from a traditional IT services firm?

An AI agency focuses on deploying solutions based on artificial intelligence: conversational agents, process automation, document analysis, predictive dashboards. Unlike a generalist IT services firm that develops software broadly, an AI agency has specific expertise in language models, agent architectures, and the integration of these components into existing business processes. In Switzerland, the additional specificity is knowledge of the FADP, local tools (Abacus, Winbiz), and data sovereignty challenges.

What is the typical budget for an AI project in Switzerland?

Budgets vary widely depending on scope. A first pilot focused on a specific process (document processing, internal chatbot, email automation) is quoted individually for the initial phase, including audit, development, and deployment. Larger projects involving several integrated systems can require significantly higher investment. We prefer to start with a limited scope, measure the ROI, and then expand.

How is my data protected and where is it hosted?

All of Kleap's infrastructure is hosted on Hetzner servers located in Germany, in the European Union. We use open source AI models deployed on these same servers: your data never transits to US third-party services (AWS, Azure, OpenAI) and is never used to train anything. This architecture is compatible with the requirements of the revised Federal Act on Data Protection (nLPD) and the European GDPR.

Are you compliant with the revised Swiss FADP (nLPD)?

We incorporate nLPD requirements into our project approach: mapping of automated processing activities, flow documentation, assessment of automated individual decisions under article 22, and advice on information obligations toward data subjects. We are transparent about the fact that we do not currently hold formal certification (SOC2, ISO 27001), and we recommend working in coordination with your DPO or legal counsel on the most sensitive points.

How long does it take to see the first results?

For a well-defined scope, the first measurable results are visible within 4 to 8 weeks: a working prototype in weeks 2 to 4, a deployed version in weeks 6 to 8. Return on investment depends on the use case: document processing automation can pay back within a few months, while more complex projects may take longer to show their full impact.

Will AI replace roles in my company?

In the vast majority of projects we carry out, the objective is not to eliminate roles but to free up time from repetitive, low-value tasks so that teams can focus on more complex and fulfilling activities. In Switzerland, in a context of labor shortages in many sectors, AI is more of a talent retention tool than a headcount reduction tool.

Do you work with SMEs or only with large companies?

We work with businesses of all sizes, from small structures to larger groups. The approach is simply calibrated differently: a craftsperson needs a simple and low-maintenance tool, while a larger company faces more complex ERP integration and governance challenges. Our three support options (built for you, referral, self-serve) make it possible to adapt to every profile.

Which tools and systems can you integrate with?

We cover the most common integrations in the Swiss business landscape: Microsoft 365 (Teams, Outlook, SharePoint), Google Workspace, common CRMs (Salesforce, HubSpot, Pipedrive), Swiss ERP and accounting software (Abacus, Winbiz, Bexio), and collaboration tools (Slack, Notion, Asana). For specific business systems (sector-specific healthcare, legal, or industrial software), we assess feasibility on a case-by-case basis during the audit.

Do you offer training for our teams?

Yes. The adoption of an AI tool by teams is often the most underestimated friction point in projects. We offer training sessions tailored to different profiles: end users who need to understand how the tool works and its limitations, managers who need to supervise and adjust, and technical leads who will handle day-to-day maintenance. These sessions can be organized in person in French-speaking Switzerland or remotely.

How can I get started and what is the first step?

The first step is a 30 to 45 minute conversation to understand your context: sector, team size, most painful processes, technical and budget constraints. At the end of this exchange, we will either propose a quote for an audit phase or direct you to the most suitable partner if your project falls outside our scope.
